Position Summary:

The Office Manager provides operational support to the Executive Director, program staff, and volunteers.

Essential Job Duties:

 Conduct efficient organizational management, including payments, payroll, reconciliation, monthly financial
reporting, and invoicing.
 Ensure grant compliance through review and retention of required documentation
 Work with staff and volunteers to ensure effective and efficient communications.
 Perform friendly, efficient office reception. greet visitors and answer telephones.
 Telephone Message control/delivery, mail preparation/distribution.
 Maintain mailing lists: active volunteers, newsletters, donors and others as assigned.
 Maintain office supplies usage and inventory.
 Assist with preparations for all meetings, trainings, public relations events as assigned.
 Work cooperatively with staff and volunteers to provide support toward achievement of goals of the CASA program.
 General cleaning & upkeep of the office(s).
 Assist with correspondences, including thank you letters and invitations.
 Other duties and special projects, as assigned.

Minimum Job Requirements:

Education:
 Experience in a business-related field or administration is preferred.
Certifications and Licensure:
 Must have a valid driver''s license, car, and valid insurance

Experience and Qualifications:

 A minimum of two years’ experience in office management.
 Written and verbal communication skills.
 Ability to interact positively with the public, volunteers, clients, and program personnel.
 Computer skills including knowledge of Windows, Microsoft Office, QuickBooks, Internet, & Email.
 Personal maturity, a strong sense of responsibility, discretion, ability to maintain confidentiality.
 Ability to relate well with co-workers and work as a team member.
 Ability to maintain a cheerful, positive attitude.
 A strong passion for the organization’s mission of advocacy.
